Job Summary:

The Vendor Portal Coordinator is responsible for daily monitoring of the vendor portal helpdesk, resolution of vendor issues and site support.

Essential Duties and Responsibilities:

  • On-boarding of all current and new vendors and following up on vendor adoption of portal
  • User security – adding, maintaining, and deleting user permissions
  • Maintain accurate contact information for vendors
  • Manage the inactivation process for a vendor portal user
  • Responsible to respond to all inquiries in the vendor portal helpdesk email on a daily basis within the defined timelines to meet the KPI’s
    • Portal support – first tier help desk, researching and resolving issues
    • Metrics – reviewing site metrics (vendor log-ins)
    • Portal maintenance – testing and communicating SharePoint upgrades
    • Create training materials
    • Trouble shoot vendor issues and solve user problems in a timely manner based on KPI’s
    • Dashboard maintenance – creating and maintaining BI dashboards
    • Assist with performing Testing and Debugging of new portal features
    • Liaison with MIS Support to resolve technical vendor portal issues
    • Regular communication with supervisor in regards to issues that are solved independently and those that require assistance
    • Regular communication with internal and external customers to resolve outstanding issues in a timely manner
    • Provide back-up within department as deemed necessary by management
    • Provide additional support within department as needed

Job Specifications:

  • Associates degree or Certificate in Business or IT Related field with 3+ years clerical and customer service experience
  • Help Desk Support Experience
    • Bachelor’s degree in Business or IT Related field with 5 years clerical and customer service experience.
    • Knowledge of Share point
    • Help Desk Support Experience
    • Previous experience managing a vendor portal

    • PC Skills – Excel and MS Office Suite
    • Ability to work calmly and efficiently during stressful situations
    • Prioritize tasks to meet deadlines
    • Train vendors explaining methods clearly and using well documented instructions
